Enjoy this 2.5x speed walkthrough of all the typical workflow in KanbanUp; including drag and drop for attachments, task management, project management, adding tasks to the project backlog, inviting new members, altering your profile and settings, and creating new projects, comments, and assignments.
Reporting is available to all projects. They outline task number, active story points in the KanbanUp Task Dashboard, the number of Archived tasks, the number of Completed project tasks, and how many items are in the Backlog. There is also a table that outlines how many total tasks are in each KanbanUp Task Dashboard Column (or Lane).
KanbanUp is filled with rich features and in-depth management, with minimalism in mind to stay focused on the tasks at hand with minimized distractions. Here are a few features that we’re excited about in the Premium and Free account types on KanbanUp:
RAG Status: Known in the production project management process as Red, Amber, Green (or RAG) status, this provides a way for Project Managers to quickly apply the health of the project. Green for “things are on track”, Amber for “tasks are looking pretty close to delivery date”, and Red for “we have a task beyond deadline or the deadline is today”.
The RAG Status is set manually by Team Managers.
Notifications: All task activities are recorded and reported by the KanbanUp system. These notifications are stored and displayed for all members of your team to see (for items that are associated to them, specifically). All users have to do is click the Bell in the upper left of the KanbanUp Dashboard to reveal the list of system-generated notifications. Comments, new attachments, task assignments, and other activities are all reflected in the Notifications area.
Slack Integration: KanbanUp system notifications can be sent directly to your company’s Slack, to any channel of your choosing, and you can customize which notifications get sent to your Slack. For more information about how to integration Slack with KanbanUp, click here for a full tutorial.
Teams: Members of KanbanUp can be invited to join any number of teams. Should you be invited (and accept) to a team, the Team selector icon will appear on the application’s navigation header in the upper right, and you’ll have a dropdown of your teams to seamlessly switch from one team to another.
In this tutorial, you’ll learn how to create Projects using KanbanUp.
By selecting the hamburger menu in the upper right-hand side of the Dashboard, you’ll see the magical KanbanUp Right Pane appear. In the Right Pane, click the “Create New Project” button.
An application overlay will appear, giving you a series of options, including Start and End Dates, Project Name, Column (or Lane) Templates, the capability to change the column names, re-order the columns however you’d like, and set an “Assign to…” user to automatically assign tasks to a specific person once a task is dropped into their Column.
Using the three-bars icon on the far right of each Column Item, drag the item up and down the list to position this lane where you’d like it to be.
Optional: If you need all tasks that land in a certain column to be automatically assigned to someone, you can click “Assign to…”, a dropdown will appear. Once selected, the users name will show next to the column, and they will receive a notification in either Slack, their KanbanUp Notifications, their mobile app notifications, or in their email inbox that a task has been assigned to them – and the task will reflect that assignment in the KanbanUp Dashboard.
If you rename or re-order the columns in one of the provided templates, or create a new column by choosing the Add Column option, you’ll be prompted to Create Custom Template.
This is so the system can hold this layout for you, and also provide you with a way to easily access your customized column template at a later date.
Getting started with Premium KanbanUp is made to be simple and fast. In this tutorial, I will explain the Backlog feature of KanbanUp and get you going with proper project planning.
Some key elements to note on this blank project Dashboard, are the Interface areas. Navigation is reserved for the upper grey bar along the top of the screen. On the left, you will see Backlog, and on the right you may see the “People” icon (indicating teams if you’re a member of more than one team), the Slack logo (allowing you to integrate KanbanUp notifications to Slack), the Bell (for notifications), and the Hamburger menu, where Settings, Projects, Team Management, and Profile links are held.
We’ll be covering all these features in this Tutorial Series.
To start, here’s the overview of one of the planning features in KanbanUp – the Backlog.
The Backlog was built to be fast, where you can plop down thoughts and notes on User Stories around future-tasks with ease. Simply start typing in the Title, hit “Enter” and type in the Description. When done, hit Enter again, and another object will show up for you to fill in. Fast. Speedy.
Should you need to add an attachment to the task, you have Google Drive, Dropbox and My Computer as options for file locations. You can also drag & drop attachments directly over the Backlog Item to add attachments.
We’ve also included an even faster way to import backlog items into the system, via the Template provided at the bottom left of the Backlog interface. Simply download the CSV, fill it it, and import it. The tasks will all be pulled into the Backlog, awaiting either file attachments or introduction into the KanbanUp Dashboard for developers/designers – or other team members to see.
To move a task from the Backlog into the First Lane of the KanbanUp Dashboard, simply click the red “Right Arrow” icon next to the Backlog Item, it will pull the task over from the Backlog interface, into the Dashboard, attachments and details and all.
